Privacy information
Publication check: This is a carefully prepared operational draft. Before the form goes live, confirm the exact registered legal name of the data controller, the legal bases, processors, retention periods, and final wording with a Polish privacy or legal professional.
1. Who is responsible for the information?
The intended data controller is the business operating under the Urban Equestrian brand at Koszary 8B, 27-100 Iłża, Poland. Questions and privacy requests concerning this form may be sent to alfonso.jim.pl@gmail.com. Replace this description with the exact registered legal name before public launch.
2. Why is the information collected?
To review a family’s expression of interest, decide whether a personal consultation may be appropriate, respond to questions, assess potential program fit, and plan the founding edition of A Bit of Everything. Separate optional consent is requested for occasional information about future editions.
3. What is collected?
Parent contact details; the participant’s first name and age; general information about interests, experience, English confidence, and residential readiness; the family’s desired outcomes, timing and format preferences; confidential fee-range research; and any optional context supplied by the parent.
The form does not request document uploads, identification numbers, payment details, or formal medical records. Parents should provide only high-level support or safety considerations at this stage.
4. Who may access it?
Alfonso, Barbara, and specifically authorized people directly involved in reviewing or operating the program may access submissions through a protected dashboard. Necessary database-hosting, website-hosting, and email providers may process information under appropriate arrangements. The information should not be sold or used for unrelated purposes.
Owner notification emails contain only a short operational summary and a link to the protected dashboard. Detailed answers and any early support or safety context are not intended to be copied into notification emails.
5. How long is it kept?
Each submission receives a proposed retention-review date 12 months after submission. Inactive or unsuccessful founding-edition inquiries should be deleted 12 months after the last meaningful contact, unless the family requests earlier deletion or a longer period is required by law. Optional future-update details may be retained until consent is withdrawn. Deletion procedures should cover the live database, authorized exports, and backups according to the final retention policy. Confirm the final schedule before launch.
6. What rights are available?
- Request access to or correction of personal data.
- Request deletion or restriction where applicable.
- Request a copy of data where applicable.
- Object to processing based on legitimate interests where applicable.
- Withdraw optional marketing consent at any time without affecting earlier processing.
- Complain to the Polish data-protection authority if rights are believed to have been infringed.
7. Is providing the information compulsory?
Submitting the form is voluntary. The required contact and fit-related answers are needed to meaningfully review the inquiry. Submission does not guarantee admission or reserve a place.
8. Automated decision-making
No admission decision should be made automatically. The internal system may calculate a simple operational conversation-priority indicator to help the founders organize follow-up. It is not an admissions score, does not accept or reject a participant, and must always be reviewed by a person.
